Damaged parcel: what to record before the next step

A tracking event that says a parcel is returning does not show that the goods are already available at the agreed receiving point. Start with the original order, outbound tracking and reported return event. Confirm where the package is now and who will receive it. Keep an expected return separate from a recorded physical receipt.
When it arrives, link the receiving reference to the original parcel and note what was actually received. Do not assume that a delivery event to a return facility proves the contents have been checked. Name the person responsible for the next review. A request to resend can be discussed now, but the release decision needs the current goods and destination information.
Compare the received items, variants and quantities with the outbound contents record. Note missing accessories, changed presentation, visible damage and any uncertainty about identity or condition. Agree what the check covers and what needs a different assessment. A sealed box or an intact outer carton is not a complete description of the contents.
Decide whether the proposed next shipment uses the returned goods, a separately approved replacement or another agreed outcome. Keep uncertain items identifiable while the decision is open. Receiving the parcel is an operational fact; it does not automatically decide refund, replacement or reshipment. Etsy’s shipping help recommends resolving missing or returned orders directly with the buyer, so keep that discussion active.
Record the carrier’s stated reason and supporting events, then separate them from the buyer’s account of what happened. Ask the responsible shipping team about unclear address, pickup or documentation information rather than assigning blame from one status. Identify what would be different on the next attempt. A new label alone does not correct an unresolved delivery obstacle.
Etsy advises contacting the buyer to verify incorrect shipping information. Its Shipping Policy requires the checkout address and valid proof of actual shipment. If a requested destination differs from the order record, confirm the applicable order and shipping requirements before preparing a new label. Do not treat an address message alone as proof that every platform or carrier condition has been met.
Imagine hypothetical order R-40 for a brooch and presentation pouch. Tracking reported a return, but the receiving check later finds the brooch and no pouch. The buyer also requests a different destination. Reprinting the old shipment would overlook both the missing component and the destination change.
Prepare separate answers: what was received, whether a pouch can be supplied under the agreed resolution, and which destination record is authorised. Obtain the relevant confirmations before assembling the next parcel. If one point remains unresolved, keep it visible with its owner. The useful decision may be to hold, resend under confirmed conditions or pursue another buyer-agreed outcome.
For an approved resend, record the exact contents, packing version, destination reference, selected service, costs and payer as actually agreed. Confirm any required shipping documents using the current goods and route. Make the new tracking reference distinguishable from the old outbound and return records, and match it to the physical parcel before handover.
Keep available evidence of the new handover and tell the buyer which package the active reference describes. An old delivery or return event should not stand in for the new shipment. If release cannot proceed, record the remaining question and next update instead of calling the matter resolved. Review the operation and buyer-facing outcome separately until both have a documented next step.
