Damaged parcel: what to record before the next step

Link the product, inner protection, outer box and label to one order. Keep observations separate from assumptions about cause, compensation or return handling.

Start with one identifiable parcel and a factual description

A damage report is easier to investigate when the team can connect the item and its packaging to the correct order. Record the order reference, active tracking reference, reported receipt date and what the buyer observed. Describe the condition without assigning fault: “the ornament’s projecting part is broken” is a useful observation; “the carrier dropped it” is a conclusion that photos alone may not establish.

Check which item or component is affected and whether the problem concerns the product, presentation packaging or shipping enclosure. Keep the buyer-facing remedy discussion separate from the transport investigation. Recording evidence does not automatically approve a refund, replacement, carrier claim or return, and it should not become a reason to stop responding to the buyer.

Keep four connected views, with the original files

Request clear views of the damaged product, its inner protection, the outside of the shipping box and the parcel label. Include context as well as a close-up so the layers can be related. UPS describes this kind of product-and-packaging photo documentation, including a readable shipping label and exterior. Its specific claim requirements apply to the relevant UPS shipment, not every route.

Use a simple sequence, such as item, inside, outside and label, under one order reference. Keep the original files for the agreed investigation channel. A public discussion can use a version with unnecessary buyer details concealed; a claim reviewer may need the readable label. Avoid spreading the full address in unrelated chats, and do not replace the original evidence with an edited collage.

Two illustrative reports lead to different questions

Imagine report D-01: a carton corner is crushed, but the buyer says the product looks intact and the gift box is dented. Record each condition separately. Ask whether the concern is presentation, function or another agreed requirement rather than calling the entire order destroyed. The outside photo alone does not establish damage to contents that have not been examined.

Now imagine D-02: an ornament is broken while the outer box appears normal. Ask for the position of the item and protection as found, the broken part and any available approved packing reference. The absence of visible outer damage does not prove when or why the break happened. These are hypothetical examples, not customer cases; both require a next checking action rather than an immediate blame decision.

Preserve what can be checked and name the investigator

FedEx tells claimants to keep original packaging and contents until the claim is resolved. Where it is safe to do so, preserve the relevant goods and layers and ask the actual claim team about any inspection or authorised disposal. Do not assume that taking photos or finishing an initial check means the packaging can be discarded.

Agree who will contact the carrier or contracted transport provider, which evidence or value record is still needed and when the next update can realistically be given. Eligibility, applicant, deadlines and process depend on the actual service and market. Photos support investigation; they do not guarantee acceptance or compensation. Keep the approved packing version available for a separate review of future orders.

Agree the return before the parcel moves again

If return handling is proposed, confirm the authorised destination, who pays for transport, the receiving reference and what happens after receipt. Etsy’s return guidance asks sellers and buyers to agree the return location and postage responsibility. A local return address or prepaid label should not be assumed, and not every damage remedy requires the buyer to send the item back.

Check whether moving, repacking or disposing of the goods would affect a requested inspection before giving instructions. Record the buyer-facing decision and warehouse handling authority separately, including any agreed replacement. Keep the investigation open items and next owner visible. A useful resolution record explains what was observed, what was decided and which action has actually been authorised.
