Product identification

Match order variants to stock references. Show a photo when two similar items could be confused.

Specify protection and presentation separately. Include a photo of the approved layout where useful.

Agree when a photo or sample needs your approval, and who the warehouse contacts for damaged stock, missing components or conflicting instructions.

Describe product placement, wrapping and the order in which the contents should appear.

Insert, label and artwork versions (optional)

Use exact file/version references and placement instructions. Do not assume an older insert is acceptable.

3. Agree release and exceptions

Packing sample or photo reference (optional)

Identify the layout to review and how approval will be recorded.

Approval before preparation or dispatch (optional)

State what needs approval, by which role and at which checkpoint. No approval is assumed.

Missing, damaged or conflicting instructions (optional)

Describe when to hold an order and which role decides the next step.
